Job Description

Position Summary

The successful candidate will be responsible for supporting accounts payable, financial reporting, reconciliations, compliance, and internal control processes while ensuring adherence to institutional, state, and federal regulations. This role requires strong analytical skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Essential Duties and Responsibilities

  • Review and process expense items for State, County, and Institutional funds, ensuring timely and accurate weekly payment issuance.

  • Verify cash availability prior to releasing checks and review vouchers for accuracy, completeness, and policy compliance.

  • Process positive pay uploads, check voids, stop payments, and check reissues as needed.

  • Enter ACH and wire transactions for daily deposit requests and refund transmittals to third-party refund processors.

  • Prepare Foundation reimbursement requests, payroll remittance checks, student refunds, and financial aid disbursements in a timely manner.

  • Maintain vendor W-9 documentation and ensure compliance with sales and use tax regulations, as well as 1099 reporting requirements.

  • Prepare monthly sales and use tax payable check requests.

  • Perform account analysis and reconciliations, including agency scholarship accounts and accounts payable reconciliations.

  • Investigate unreconciled payments, communicate with payees to confirm receipt of funds, and minimize escheatment liabilities.

  • Prepare and submit the annual escheat report in accordance with required deadlines.

  • Collaborate closely with Purchasing and Business Office staff to resolve discrepancies, maintain general ledger accuracy, and ensure compliance with institutional, state, and federal policies.

  • Assist in the preparation of financial statements through the development of prepaid and accrual schedules, lead sheets, and supporting audit documentation.

  • Support internal control over financial reporting and compliance initiatives through the EAGLE Framework.

  • Provide research and project support to the Controller and Assistant Controller as needed.

  • Promote and support the College’s Vision, Mission, Values, and RISE statement.

  • Foster and support workforce diversity and inclusion initiatives.

  • Perform additional duties and special projects as assigned.

Knowledge, Skills, and Abilities

  • Knowledge of Generally Accepted Accounting Principles (GAAP).

  • Familiarity with state sales and use tax laws and compliance requirements.

  • Proficiency in Microsoft Office applications, including advanced Excel functions preferred.

  • Strong analytical, organizational, and problem-solving skills.

  • Ability to interpret, analyze, reconcile, and compile complex financial data with a high level of accuracy and compliance.

  • Effective verbal and written communication skills.

  • Ability to interpret and apply applicable federal, state, and local laws, regulations, and policies.

  • Ability to prioritize workload and meet deadlines in a dynamic, fast-paced work environment.

Minimum Qualifications

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.

  • Minimum of two (2) years of full-time experience in accounts payable, accounting, auditing, or related financial operations.

  • Experience ensuring compliance with tax reporting requirements and institutional policies.

Preferred Qualifications

  • Experience with financial systems such as Colleague.

  • Prior work experience in higher education, governmental, or nonprofit organizations.

  • Advanced proficiency in Microsoft Excel.

  • Bilingual or multilingual abilities, including proficiency in Spanish, an East Slavic language, and/or American Sign Language (ASL).

Complexity of Work

This position requires evaluating, interpreting, analyzing, and resolving complex financial and compliance-related matters while exercising sound professional judgment.
